Detail what data you have, where it is stored and who has access to it. Also detail who is responsible for things like data backups and controlling who can access which pieces of information.
Having a “Shared” area on a server where everyone stores everything is inefficient. Organise the data in a way that means something to you. Decide who needs access to which data and put appropriate security in place. Some recent viruses affect all files that a user has access to, so if it can’t be accessed it can be affected. Ensure that critical and financial information can only be accessed by those who need it.
Cloud backups are now becoming the norm, an encrypted off site backup can ensure you have access to your data should the worst happen. However you back up, check regularly to ensure it is working correctly – if you only have a backup from a week ago, a weeks worth of work has been lost – at what cost to you?
Ensure that any mobile USB drives and flash drives are encrypted and are always accounted for.
